ABOUT COMPANY
World Vision is an international partnership of Christians whose mission is to follow our Lord and Saviour JesusChrist in working with the poor and oppressed to promote human transformation, seek justice and bear witness to the good news of the Kingdom of God. Our Cambodia Office is seeking for one (01) qualified Cambodian national to fill vacant position of Project Coordinator for Sponsorship, which based in Thmar Pouk District, Banteay Meanchey Province.
 
Based salary: $400 plus competitive benefits
 
Purpose of Position
To provide overall leadership, planning and management to Sponsorship Management Project and ensure that it is efficiently and effectively carried out in the Area Development Program (ADP) in compliance with World Vision partnership sponsorship standards and local sponsorship guidelines/policies of World Vision Cambodia, which aims at promoting the well-being of all children and contributing to maintaining high quality ministry with children through sponsorship and operations activities.
 
Responsibilities
  1. Ensure that all mails from sponsors and/or support offices are delivered to children and all reply letters from children are sent to sponsors and/or support offices in a timely and efficient manner via Sponsorship Operations Unit at the Operations and Sponsorship Operations Office at the National Office (NO).  Make sure that copies of completed correspondence control forms (CCFs) for child responses to sponsor mails are properly filed.
  2. Ensure each new Child in Program (CIP) and Replacement (Photo, Digital Imaging [DI] files, Introductory Letter [IL] and Child History [CH]) are done with high quality and in line with the CRS Handbook.  Ensure partnership holds and all CIPs’ drop records are reactivated, processed and sent to support offices within default time.  Regular reconcile CIP data if any.
  3. Ensure all ILs and family photos are processed with high quality and are sent to be stored in the NO. And Make sure that the ADP will obtain and update ILs and family photos as requested by the support office for replacements, or at the time of CH preparation for new registered children. The IL must be consistent with the CH data.
  4. Ensure each child folder contains completed consent agreement form, copy of APR, initial and updated CHs, and copy of child’s birth certificate or copy of any document certified child’s identity.
5.    Coordinate and manage Sponsor Visit’s arrangement between Operations/NO and ADP.  Host the sponsor visit and ensure the sponsor understands how the ADP works with CIPs (like direct and indirect benefits, etc.) and the visit is complied with the Child Protection Policy and the sponsor visit standard of the CRS Handbook.  Write and submit the sponsor visit report to Operations/NO with high quality and within default time.  Ensure that all sponsor visit reports are properly filed.
  6. Coordinate and process the 2 special mailings (Annual Progress Report [APR] and Water Festival Card [WFC]) by ensuring that the partnership standards are met.  Make sure that 99.01% of APRs and WFCs are sent out to sponsors within the minimum turn around time.  To assist the ADP manager in designing ADP Annual Progress Report Insert.  To ensure that child file lists sent by the NO before the process of these two events are verified, give comments to the NO if there is any error and get them updated.
  7. Coordinate and respond to sponsors/SOs queries or special requests based on partnership sponsorship standards and local guidelines and policies of World Vision Cambodia and send them to the Operations/ NO within default time.  Ensure that the queries are accurately responded and reviewed by the ADP Manager if they are critical and related to programming (like health, education, food and water security, etc.).
  8. Coordinate the process of Gift Notification (GN) with involvement of other ADP staff as per the partnership sponsorship standard and the local sponsorship guideline of World Vision Cambodia.  Ensure that the GN package (Thank-you letter, relevant photos, and list of GN expenses) is sent to Operations/NO within default time; and GNs are wisely used in a developmentally sound manner.
  9. Initially notify the Operations/NO about CIP death immediately.  Prepare the Child Death Report covering information required by the partnership sponsorship standard and submit it to the Operations/NO timely.  Ensure that the replacement is sent to the Operations/NO for the support office within time frame.
  10. Coordinate and conduct biannual Child Count/Census with the ADP team and community.
  11. Provide/coordinate sponsorship technical training to the Sponsorship Facilitators (SFs) and the Sponsorship Facilitation Team Leaders (SFTLs) and other local partners involved.
  12. Ensure that sufficient supplies (i.e. CH, IL, sponsor/support office label, farewell letter, etc.) for sponsorship business are available in the ADP office.
  13. Ensure that CIP selection/CIP growth is carried out in compliance with the support office requirements, partnership sponsorship standard and local CIP selection criteria of World Vision Cambodia, and delivered to the Operations/NO within agreed schedule.  Make sure that the reserved CIP meets the standards.
  14. Make sure that all registered children are visited at least once every three months and the child information is accurately collected and updated or keyed in the CMS Support System (software).
  15. Review all CMS Child Regular Visit forms.
  16. Ensure that health and education status of all registered children are closely monitored and report to ADP Manager for appropriate action on any issue (including child at risk), which is flagged by monitoring system.
  17. Ensure that CMS soft data are transferred to the Operations/NO as agreed schedule.
  18. Ensure completed child regular visit (CRV) forms are properly filed.
  19. Build good relationship with all stakeholders for good collaborations in improving well-being of CIPs.
  20. Ensure no registered child or CIP with multiple sponsorships.
  21. Ensure that child protection issues and incidents of CIP are reported as per procedures required by the Child Protection Unit and through sponsorship flow.
  22. Follow up to ensure that the CIP victim receives appropriate support and stay in a secure place.
  23. Develop expertise in child rights and child protection issues.
  24. Train Sponsorship Facilitators and the Sponsorship Facilitation Team Leaders on child protection policy, issues and procedures.
  25. Ensure that child protection policy awareness is raised in the community.
  26. Assist ADP Manager in preparing Sponsorship Management Project Log frame and narrative and sponsorship annual plan of action.
  27. Prepare sponsorship annual budget and submit it to the ADP Manager.
  28. Monitor and reflect on the Sponsorship Management Project implementation to ensure that each output is achieved.
  29. Prepare and submit monthly management report and CMS report (generating from the CMS support system) to the ADP Manager and the Sponsorship Operations Coordinator on time.  The monthly management report is prepared with high quality.
  30. Ensure appropriate internal control on correspondences is in place and is effectively used.
  31. Assist ADP Manager in preparing CIP phase out plan and closing comments/reports.
  32. Spend appropriate portion of times for monthly visits at target villages to make sure that every thing in the village level is properly done as expected.
  33. Ensure that regular coaching of the Sponsorship Facilitators and the Sponsorship Facilitation Team Leaders is taken place.
  34. Ensure that all audit findings and recommendations concerning sponsorship are appropriately responded and improved.
  35. Any other task assigned by ADP Manager, Sponsorship Operations Coordinator, Operations Manager, and Sponsorship Operations Manager.
 
QUALIFICATION
  1. Ability to work in multi-cultural environment.
  2. Demonstrated ability to work with government and communities.
  3. Ability to work with limited supervision.
  4. Demonstrated commitment to child rights.
  5. Previous experience in development, administrative and communication skills.
  6. Fluent in English (Writing and speaking).
  7. Computer proficiency: MS Word, Excel, Access and any database application, and understanding of computer hardware/software are required.
  8. Willing to work as a team and to travel away from home on assignment and Own Motorbike.
  9. University degree-major in customer service or relevant degree is an advantage.
  10. Proactive to solve problems.
  11. Ability to plan, lead, organize and control.
  12. Ability to handle a variety of tasks under pressure/excellence attention to detail Christian is preferable.
